Configuring printer e-mail settings for use with Microsoft Outlook 365

Issue description

This article includes instructions to configure printer e‑mail settings with Microsoft Outlook 365.
Suggestions below are provided as a courtesy by Lexmark for users of Microsoft Outlook 365. Lexmark does not claim official support with Microsoft Outlook 365.

Solution

Step 1.
Acquire Outlook SMTP Settings
  1. Log in to the Outlook Web App interface.
  2. Click
    Options
    .
  3. Click
    See All Options
    .
  4. Click
    Account
    .
  5. Click
    My Account
    .
  6. Identify settings for
    POP
    ,
    IMAP
    , and
    SMTP Access
    .
Take note of
ALL
settings. You will see settings in the application similar to:
  • Server name:
    pod51018.outlook.com
  • Port:
    587
  • Encryption method:
    TLS
Hence, Printer E-Mail Setup Configuration Settings identified:
  • Primary SMTM<’kP Gateway –
    pod51018.outlook.com
  • Primary SMTP Port –
    587
  • Encryption
    – TLS
Step 2.
Identify Reply Address
Also helps identify Login UserID and Password credentials when you set up Device Credentials for authentication purposes
  1. Click the Outlook link.
  2. Identify the
    Login
    ; e.g.,
    myemail
    @myurl.onmicrosoft.com.
    The full name of this address must be entered on the printer and
    not
    just
    myemail
    .
  3. Identify the Login
    Password: *****
    If you have just created an account, it can take a full day for you to be able to send/receive e-mails.
Step 3.
Authentication and Device Credentials
Enter these values into the printer.

Step 4.
Device Credentials
If you choose to use Device Credentials, you must populate the following fields:
  • Device User ID: myemail@myurl.onmicrosoft.com
  • Password: **********
In these fields, use your Microsoft Outlook 365 user ID and password.
Step 5.
After entering the information, click
the Submit
button to start sending e-mails using your Outlook 365 account.

You can configure the printer over the corporate network for ease of access. When ready to test, however, make sure that the printer is connected to a non-firewalled port, which allows SMTP access to the outside world (e.g.,
outlook.com
). If you can connect a laptop to such a port and telnet to
pod51018.outlook.com
(port 25), then you are good to go. Corporate firewalls can block access to external SMTP servers, so you need a special port.
