How to Configure the RightFax E-mail Gateway for Use with SMTP/POP3 E-Mail Systems

If...
Then...
And...
An
e-mail
is
addressed
to the
RightFax e-mail gateway
on a dedicated and specifically created POP3 mailbox...
The messages are
forwarded
to the RightFax server...
The
RightFax server converts
e-mail messages to faxes and
transmits
them.
Note:
Additional gateway functionality allows incoming faxes to be routed to an individual e-mail mailbox.
1st
...
2nd...
3rd...
Lastly...
The RightFax gateway periodically
logs into the mail server
via POP3 protocol...
Once logged in, the
gateway
announces
the
mailbox
and
password
that was created in
Control Panel > RightFax E-mail Gateway
applet...
The
gateway searches
or
identifies
the user's
assigned mailbox
for the specialized
number @ domain name (
RightFax e-mail gateway)
...
e.g., /fax=529-6239@faxgate.company.com e.g., /name=Gorilla/fax=529-6239@faxgate.company.com
The
gateway forwards
any identified
messages
to
the
RightFax server
.
Requirement
Significance
An SMTP server
An SMTP server
must be accessible to the machine running the RightFax e-mail gateway. However, the SMTP server does not have to be installed on the machine running RightFax server or the RightFax e-mail gateway.
Administrator Login (ID)
This is required for installation and configuration to work.
You will need full admin rights in the domain on the computer you are installing the gateway (typically the fax server).
RightFax e-mail gateway applet
The applet is found under
Control Panel
. If it is not present, you will need to download Service Pack 4 or greater and follow the installation instructions.
POP3 mailbox
This is a
POP3 mailbox
specifically created for use by the RightFax e-mail gateway.
If...
Then...
And...
The
e-mail gateway
is running on the
same machine
as the
fax server
...
The
service
is configured to be
started by
the
RightFax Server Module Service
.
You must reboot the machine in order to restart the fax server.
If the e-mail gateway is running on a
remote machine
...
You must
start and stop the gateway
yourself
.
To do this, you can start the gateway from a Console window using the GATEWAY command line or in the Services control panel.

Value "Setting"
Function
Server address
This entry specifies the host name or IP address of the SMTP server on your network (e.g., "
mailhost.company.com
" or "
127.0.0.1
").
FROM message
This descriptive name appears in the From field of all mail-bound fax messages (e.g., "
RightFax E-mail Gateway
"seen above).
Note:
The gateway uses this name when sending messages to the SMTP mail server. Many mail servers require that the name be a valid mailbox on that server in order for the message to be accepted.
In such cases, this entry should be in valid mailbox in angle-brackets.
"<fax-mailbox>" "RightFax e-mail gateway <fax-mailbox>" "RightFax e-mail gateway <fax-mailbox@company.com>" "RightFax e-mail gateway <administrator@company.com>"
Default User Name
This name specifies the
RightFax user ID
that should be used when the sender of a fax-bound mail message cannot be matched to a RightFax user.
POP3 Mailbox Name
The name of the
POP3 mailbox account
that will be
logged into
by the
gateway to
check
for
fax-bound mail messages
.
Administrator:
The SMTP mail server administrator should create a mailbox on that server specifically for use by this gateway.
Mailbox Password
This name specifies the
Password
of the account defined above in "
POP3 Mailbox Name
."
Frequency
Enter a
time limit
for
how long the gateway will sleep
before checking the system and the RightFax system for work to do, i.e., routing received faxes or converting to faxes.
Activation = drop-down menu selection in seconds
Recommendation:
The Frequency should not be set to a low value, as this will use too many system resources.
LogLevel
This parameter specifies the
level of information logged
in the
A
pplication EventLog
, under
Service name >
RightFax E-mail Gateway Module
.
  • Value:
    Terse
    • Record (Tracks):
      Critical errors
  • Value:
    Verbose
    • Record (Tracks):
Significant amounts of information which may help isolate problems
Recommendation:
Do not leave Verbose as a default value. The EventLog can fill quite quickly.
Maximum Number of Messages to Retrieve
Limit the number of messages processed at one time
by
the
RightFax e-mail gateway
by entering a value in this field.
Default limit = 50 messages.
Remote E-mail Gateway Service
This
specifies
that the
gateway process
will
execute
on a
remote Win NT machine
versus executing on a
local machine
.
Activation = checkmark
To run the remote gateway process, map the address of the \RIGHTFAX directory on the fax server. Switch to the \GATEWAY directory and run the command line GATEWAY [parameter] in a window. See
Rightfax
Administrator's Guide Appendix IV
for a full list of parameters.
Force Use of APOP
When collecting mail via the POP3 protocol,
the gateway first attempts to log-in using a password
or
authenticated password
scheme.
Activation = checkmark
If this log-in
fails
, the
gateway then sends the password with protection or as "clear-text"
so that it can log in to servers that do not support this scheme and can
force the use of the protected password scheme by toggling on this field
.
Display FriendlyName on Cover Sheet
Displays
the
user's e-mail name
rather than e-mail address on the fax cover sheet.
Disable Outbound Faxing
The gateway will only serve to
route received faxes to e-mail
users.
Activation = checkmark
Stated differently, the gateway will not attempt to send e-mail messages out as faxes.
Remove Mail Headers
The gateway can
place mail headers
found in
fax-bound messages
into the
fax's cover sheet notes area
.
Activation = checkmark to enable
Values for advanced functionality:
Functions
Allow Default User Name (REG_DWORD)
This is used for fax-bound mail messages; this value forces the gateway to attempt matching the sender's e-mail address with that of a user in the RightFax database.
If a match is not found, then a default RightFax user mailbox is used as the originator of the fax.
Should this feature be enabled, a value must be entered in the Default User Name field in the E-mail Gateway Control Panel.
Skip Empty Attachments (REG_DWORD)
The gateway will scan the bodies of fax-bound mail attachments and discard empty ones if this feature is enabled. This prevents blank fax pages from being sent needlessly.
Use Files for Temp Storage (REG_DWORD)
Normally, the gateway processes fax-bound mail attachments (typically in MIME format).
Extra Headers (REG_MULTI_SZ)
Any headers entered here will be added to mail-bound faxes going to the SMTP server. Examples include
  • "X-Organization: Company, Inc."
  • "X-Location: Tucson, AZ, USA"
  • "Priority: low"
Include Headers (REG_MULTI_SZ)
Headers listed here will be added to the fax's cover sheet notes area (assuming No Mail Headers is disabled). A blank field will cause all headers to be included.
Values are not case-sensitive.
Exclude Headers (REG_MULTI_SZ)
Any headers listed here will be removed from those added to the fax's cover sheet notes area (see
Include
Headers
and
No Mail Headers
above).
Values are not case-sensitive.
Step
Action
1
In
FaxAdmin
,
edit
the
user
and
press
the
Routing
button to open the
Receive Fax Routing
dialog.
2
In the field labeled
Routing Type
, select
SMTP
.
If
SMTP does not appear
as a valid option, you are running an older version of FaxAdmin. Download the latest version that shipped with the new RightFax gateway and server code in Service Pack.
3
In the File Format field, TIFF-G3 or TIFF-G4 may be selected. In either case, the file is delivered to the user's mailbox as a MIME-encoded multi-page TIFF image. The user is expected to have an image viewer capable of displaying these messages.
4
In the Routing Info field, enter the user's e-mail address (e.g., "user@company.com").
Note:
When the gateway receives a fax-bound (outgoing) mail message, an attempt is made to assign that message to a RightFax user. It does this by comparing the address in the "From:" message header line against the routing information for all users in the RightFax system.
Because of this, the address entered here should match that set on the "From:" header line of the user's outgoing e-mail messages.
Note:
The match is not case sensitive and descriptive information should not be included here.
For example:
"Sandy Frank <sandy@company.com>"
The
Delete After Routing
option allows faxes from the RightFax mailbox to be deleted after being successfully routed to the e-mail system. If RightFax cannot route a fax to the destination e-mail address, it will leave the fax in the user's RightFax mailbox.
