The Scan to PDF solution lets you use your printer control panel to scan a document and save it as a PDF file in a pre-defined location. When you create a Scan to PDF solution in the SmartSolutions Center, you can select a directory on your computer, network, or external storage device. You can then load your document into the printer and touch your customized Scan to PDF icon on the printer's SmartSolutions menu in order to save the document as a PDF file in your specified directory.

  • Note: The Scan to PDF solution can be configured only on computers that have the Windows or Mac OS X version of the printer software installed.

Configuring Scan to PDF Settings

You can use the following basic settings to configure and customize your Scan to PDF solution.

  • Name – Enter a unique name for your Scan to PDF solution.
  • Icon – Click the Browse Icons button to choose an icon to represent your Scan to PDF solution on the printer's SmartSolutions menu.
  • Filename – Click the Browse file button to select the directory where you want to save your PDF file. In the Please Save a file dialog, enter a prefix for the filename (optional) and click Save.
    • The filename of your saved PDF file will consist of the optional prefix you entered in the File name field of the Please Save a file dialog, along with a date and time stamp. For example, if you enter the prefix PDF-, your file will be saved as PDF-date, time. If you don't enter a prefix, your file will be saved as date, time.
  • Scan Preview – Specify whether or not to preview the scan on the printer control panel before saving.
    • Note: This is supported only if you use the scanner glass for your scan. You cannot use the ADF (Automatic Document Feeder) to scan if Scan Preview is selected.

The following advanced settings are also available for you to configure.

  • Quality – Select the scan resolution in dots per inch (DPI). Each successive DPI value (75 DPI to 600 DPI) produces an output file approximately four times larger than that of the previous (smaller) DPI value.
  • Color – Specify whether to scan the document in color or black and white. Color scans produce output files approximately two times larger than the output files produced by black and white scans.
  • Size of Original – Specify the size of the original scanned document.

Using Your Scan to PDF Solution on Your Printer

To use your Scan to PDF solution on your printer:

  1. Load the document you want to save as a PDF file into the printer.
  2. Touch the SmartSolutions icon on the printer control panel.
  3. Touch the Scan to PDF icon you created.

The printer scans the document and saves it as a PDF file in your specified directory. The filename will consist of the prefix you entered in the Filename field, along with a date and time stamp.

 

Limitations and Troubleshooting

You may encounter the following error message while creating a Scan to PDF solution in the SmartSolutions Center.

"Hostname is not in the device's host list."
If this error occurs:

  • Make sure the printer driver is installed on the computer you are using to create your Scan to PDF solution. You can only configure a Scan to PDF solution on the computer when the printer driver is installed.
  • You may have changed the computer hostname after you created your Scan to PDF solution. See "No response from selected computer" below.

You may encounter the following error messages while using the Scan to PDF solution on your printer.

"No response from selected computer."
If this error occurs:

  • You may have changed the computer hostname after you created your Scan to PDF solution. When you create a Scan to PDF solution in the SmartSolutions center, the solution uses your computer's current hostname. After creating your Scan to PDF solution, if you change the "Network computer name" on the Settings tab of the Lexmark Printer Home driver software, the solution stops working.

To restore your Scan to PDF solution:

  1. Log into the SmartSolutions Center and right-click your printer at the bottom of the Workspace.
  2. Select Refresh Workspace.
  3. Double-click your Scan to PDF solution and ensure that the settings configuration box opens without displaying a "Hostname is not in the device's host list" error.
  4. Click OK.
  5. Click Save and Sync.

After your updates are sent to the printer, your Scan to PDF solution should function properly.

"Unable to save file" error
If this error occurs:

  • You may not have specified a directory in which to save your scanned file. When you configure your Scan to PDF solution in the SmartSolutions Center, make sure you set your file to save in a specific directory by using the Browse file button.
